What to include in an offer letter

An India-first offer letter should cover eight things: role and team, compensation breakdown (fixed, variable, equity if any, expected total), benefits, start date, reporting manager, location and remote policy, evaluation cadence, and a contact for questions.

Beyond that, the data clauses should be DPDP-aware: explicit consent language for processing the candidate's personal data, retention period, and a withdrawal mechanism. Older templates use vague language that no longer meets the bar.

What is an offer letter?

An offer letter is the formal written proposal a company makes to a candidate inviting them to join in a specified role on specified terms. It precedes the appointment letter, which is issued after the candidate accepts.

In India, the offer letter is non-binding by itself but creates the basis for the eventual employment contract. Treat the language carefully: clauses written in the offer carry forward.

Why is an offer letter important?

Strong offer letters do persuasion work that interviews cannot. The candidate has been through five conversations and now reads the document carefully. Specific names, specific projects, and a clear first-ninety-day picture lift accept rates by around nine points in our customer data.

The generated document is a starting template. We recommend a final review by your legal counsel before sending to candidates, particularly for senior roles or non-standard compensation structures.

Does this work for senior leadership offers?
